The client, a fast-growing real estate agency, was struggling with lead follow-up delays, scattered contacts, and an overcomplicated CRM setup. They were using HubSpot but not leveraging its features—manual tasks and missed deals were becoming the norm.
They needed a CRM that worked with their team, not against them.
The primary objectives for this project were:
I started with a deep CRM audit—cleaning duplicate contacts, organizing properties by tags, and simplifying their existing pipelines. I removed unused stages and restructured the pipeline to match their actual sales flow.
Next, I built lead qualification workflows: when a contact filled out a property form, they were tagged, added to the appropriate deal stage, and sent an automated email or SMS based on the type of listing they requested.
I created custom properties like “Interested Location” and “Budget Range,” and used those fields to segment contacts for future campaigns.
I customized dashboards for each sales rep, giving them real-time visibility into deal stages, response time, and closing opportunities.
This project transformed HubSpot from a cluttered tool into a powerful sales asset. By aligning the CRM with the team’s actual workflow and layering in automation, we saved time, improved follow-ups, and gave the client a clear system to scale their sales process with confidence.
